KRON0S' OVERVIEW This Statement of Work ("SOW") provides an overview of the project including scope, approach, costs, and how the project will be managed. To support a successful implementation, you agree to provide the required internal project resources PROJECT OBJECTIVES The City of Huntington Beach is currently using Workforce Central version 6 with integration to the City's Fire Department TeleStaff solution and JD Edwards EnterpriseOne ERP. The City has requested that Kronos provide professional services to upgrade their Workforce Central environment to version 8. They have also requested that Kronos provide these services at a fixed cost that includes travel. To accommodate the City's request, Kronos has included 2 onsite consultant visits in this scope of work. The visits will be coordinated during the Kronos Project Managers project initiation call with the City. The rest of the services describe in this statement of work will be delivered remotely. As part of the upgrade, Kronos will utilize Workforce Integration Manager to upgrade the existing Connect integration between Workforce TeleStaff and Workforce Central as well as the Payroll export, Employee Import, and Accrual import between EnterpriseOne and Workforce Central. Depending upon the preparation and engagement of your organization, there may be opportunity to complete the project in a compressed duration. However, if project resources are unprepared or unavailable, the duration of the project may need to be extended, increasing the budget required to successfully complete this scope of work. Requests for additional scope or activities outside of this planned project scope may be accommodated through the change process. In either of these circumstances, Kronos may issue a change order to ensure the appropriate budget is available. Kronos will deliver the scope of this project utilizing a blended approach. Core Team training will help your key functional and technical users to make informed solution design, configuration decisions and provide core product knowledge. UPGRADE APPROACH The project team will collaborate to establish a project plan with tasks, responsibilities, and milestone dates and provide the foundation for project control. Kronos will complete an environment readiness review with your project team resources to ensure the server environment is available and pre -requisites have been installed. Kronos will perform test upgrade, deploy interfaces and complete validation testing of upgraded environment. Upon completion of customer user acceptance testing, Kronos will complete the upgrade to production. Using a combination of lecture, discussion, and hands-on practice, you will learn how to create and manage widgets, alerts, notifications, workspaces, wizards, and navigators. You will learn how navigator components are related to one another. Using a structured process, anatomy, and configuration report you will effectively manage edits to widgets, alerts, and workspaces. Recognizing the relationship of navigator components is essential to successfully implementing changes to your current configuration. You will review the use of navigator templates that provide a starting point for new navigators. You will also learn when and how to apply context allowing managers to easily navigate from one widget to another widget or workspace while maintaining selected employees and time period. Finally, you will recognize when to use immediate notifications to help employees and managers instantly engage with the right information at selected locations. Managing Timecards and Preparing for Payroll: This course is designed for those responsible for managing time and labor information in the Workforce Timekeeper environment to either prepare for payroll processing or to effectively administer the application. You will learn how to use Workforce Timekeeper tools to effectively and efficiently perform daily and periodic tasks that manage employee time and labor data and prepare that data for payroll processing. Using a combination of discussion, hands-on, and application simulation experience, you will monitor timecard exceptions and resolve differences between scheduled and actual time recorded on timecards, add and modify employee schedules, review, and approve timecards, process payroll, make corrections to previous pay periods, and add and maintain employee data. Basic Interface Programming: This instructor -led course is designed to provide you with basic knowledge and skills to use Workforce Integration Manager 6.x and 8.0 to interface with Workforce Central. CONSULTANT'S DUTIES AND RESPONSIBILITIES: During the project, the Kronos Project Manager will work with the City to suggest the most appropriate use of the processes to suit your project. Following are the key project management disciplines the Kronos Project Management lifecycle (Start, Plan, Monitor and Control, Close) incorporates. The Kronos Project Manager will coordinate with the City's Project Manager throughout the project. Issue Management An issue is a situation, action, concern or question arising during the performance of the project which requires a solution. Unresolved, an issue may impede or halt performance of project tasks by delaying or suspending work effort. The purpose of the Kronos issue management procedure is to define how the stakeholders of the project will raise and resolve issues. It provides a way to track the progress of issues, and to maintain visibility of management decisions regarding them. During the implementation, issues and concerns may arise. An issue log will be utilized for tracking implementation issues throughout the deployment of the implementation. When an issue is raised, the Kronos Project Manager will work with the City to identify the severity of the issue and to identify opportunities to address the issue via a change request or an action plan. Surfnet Exhibit A The status of these items will be tracked on the Project Workbook and updated by the Kronos Project Manager for discussions during regularly scheduled status meetings. Items will be assigned by the project managers to appropriate team resources for resolution in a timely manner. The intended result is a minimal backlog of unresolved issues, thus providing the lowest practical impact to the project. Quality Management Quality Management is the process of ensuring that the project will satisfy the requirements for which it was undertaken. It is important to note that Quality Management includes management of both the Project and Product. Kronos will integrate the use of Change Control processes, Checklists, Milestones, Phase Reviews and Formal Acceptance forms as tools in support of quality assurance. Kronos will also offer sample Testing Strategy and Test Case materials for core products to ensure our Customers leverage the vast experience Kronos has gained from its experience in Human Capital Management. Resource Management The Kronos Project Manager will issue all work assignments through electronic mail. Some tasks may be driven by other issues and action items and may not appear on the project schedule. Such tasks are to be completed with the same sense of urgency as scheduled tasks. Both the City and Kronos Team resources are expected to complete -all tasks on schedule, raising concerns associated with completing their tasks as far in advance of the due date as possible. Items of concern will be highlighted during regularly scheduled status meetings. Schedule Management Schedule Management includes the processes to ensure the project is completed within a defined timeframe. Kronos Project Manager will liaise with the City as to the appropriate schedule management that will be required for the project. Standard tools may include MS Project or MS Excel in order to develop the schedule baselines, and track progress throughout the project. C. CITY'S DUTIES AND RESPONSIBILITIES: 1. Makes sure business procedures are documented and the users are trained. 2. Assists in the development of a detailed project schedule. 3. Communicates issues to Customer's management and ensure resolution. 4. Ensures that the appropriate project team members and key decision makers are identified and available to fulfill their project responsibilities. 5. Reviews deliverables at milestones for time, quality, and accuracy, in order to ensure that progress is achieved. D. WORK PROGRAM/PROJECT SCHEDULE: To Be Determined Surfnet Exhibit A EXHIBIT "B" Payment Schedule (Fixed Fee Payment) NORMNORMA I A AI This SOW represents a fixed fee engagement. TraveB expenses for up to 2 consultant visits are included. Service Type Professional Services $48,960.00 Educational Services S10,935.00 $59, 895.00 1. CONSULTANT shall be entitled to monthly progress payments toward the fixed fee set forth herein in accordance with the following progress and payment schedules. 2. Delivery of work product: A copy of every memorandum, letter, report, calculation and other documentation prepared by CONSULTANT shall be submitted to CITY to demonstrate progress toward completion of tasks. In the event CITY rejects or has comments on any such product, CITY shall identify specific requirements for satisfactory completion. 3. CONSULTANT shall submit to CITY an invoice for each monthly progress payment due. Such invoice shall: A) Reference this Agreement; B) Describe the services performed; C) Show the total amount of the payment due; D) Include a certification by a principal member of CONSULTANT's firm that the work has been performed in accordance with the provisions of this Agreement; and E) For all payments include an estimate of the percentage of work completed. Upon submission of any such invoice, if CITY is satisfied that CONSULTANT is making satisfactory progress toward completion of tasks in accordance with this Agreement, CITY shall approve the invoice, in which event payment shall be made within thirty (30) days of receipt of the invoice by CITY. Such approval shall not be unreasonably withheld. If CITY does not approve an invoice, CITY shall notify CONSULTANT in writing of the reasons for non -approval and the schedule of performance set forth in Exhibit "A" may at the option of CITY be suspended until the parties agree that past performance by CONSULTANT is in, or has been brought into compliance, or until this Agreement has expired or is terminated as provided herein. 4. Any billings for extra work or additional services authorized in advance and in writing by CITY shall be invoiced separately to CITY. Such invoice shall contain all of the information required above, and in addition shall list the hours expended and hourly rate charged for such time. Such invoices shall be approved by CITY if the work performed is in accordance with the extra work or additional services requested, and if CITY is satisfied that the statement of hours Surfnet Exhibit B EXHIBIT B Fixed Fee Payment worked and costs incurred is accurate. Such approval shall not be unreasonably withheld. Any dispute between the parties concerning payment of such an invoice shall be treated as separate and apart from the ongoing performance of the remainder of this Agreement.
