HomeMy WebLinkAboutCity Council - 3080 RESOLUTION NO. 3o8o A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF HUNTINGTON BEACH PRESCRIBING PROCEDURES UNDER WHICH DUPLICATES OF CITY RECORDS LESS THAN FIVE YEARS OLD AND MISCELLANEOUS PAPERS IN THE CITY MAY BE DESTROYED WHEREAS, Government Code Section 34090 .7 provides that the City Council may prescribe procedures under which dupli- cates of city records less than five (5) years old may be destroyed if they are no longer required; and The heads of the various city departments have many duplicates of records which they desire to destroy , and such duplicates are of insufficient historical, fiscal, research or other value to justify their retention; NOW, THEREFORE, the City Council of the City of Huntington Beach DOES HEREBY RESOLVE as follows : The City Council does hereby authorize the head of any city department to destroy the duplicate of any city record under five (5) years old and under his charge . Such duplicate records shall be destroyed by tearing, shredding, burning or any other method sufficient to guaranty total destruction of such duplicate records by such department head while such records are under his charge . The head of any department is authorized to retain for donation or dedication to the city historian, historical societies, museums, or other similar organizations, any dupli- cate which he believes is of sufficient historical fiscal, social, research or other value to justify its retention and preservation. Records which may be destroyed pursuant to this resolution shall include, but not be limited to , carbon copies or other reproductions of the original records for which a central register or ledger is kept , cancelled checks , demands for pay- 1. ments, bank statements, daily and monthly reports of revenues and disbursements of funds in general accounts and trust ac- counts , and cancelled payroll warrants . BONFA, City Attorney of the City of Huntington Beach, California, at the re- quest of department heads , hereby consents, subject to the approval of the City Council by Resolution No . 3080 , to the destruction of certain city records less than five (5) years old.
