UBERUAGA, City Administrator PREPARED BY: S M. JONES II, DIRECTOR OF PUBLIC WORKS -Tk - SUBJECT: Replacement of an Electronic Theodolite (Survey Equipment) Statement of Issue, Funding Source, Recommended Action, Alternative Action(s), Analysis, Envil9nmental Status, Statement of Issue: The electronic theodolite used by the Public Works Department survey crews became inoperative on August 18, 1997. Due to the high cost of repairs as compared to the trade-in value, it must be replaced in order to keep the survey crew functioning. Funding Source: Funds are available from the 1996/1997 Equipment Replacement Fund Balance. Recommended Action: Motion to approve the appropriation of $11,562 from the Equipment Replacement Fund to puchase a Leica TC-1100 total station instrument, which includes the following ancillary equipment: I MB PCMCIA memory card, OSW/PC transfer cable, and two GPH1 single prism holders. The $11,562 total includes sales tax, rebate, and trade-in. Alternative Action(s): Do not purchase equipment outright and lease the equipment at a cost of $1,500 per month. -3 s REQUEST FOR ACTION MEETING DATE: September 15, 1997 DEPARTMENT ID NUMBER: 97-074 Analysis: The electronic theodolite was acquired on November 4, 1992 at a cost of $8,595. The bolt -on electronic distance meter, which is built-in to the new electronic theodolite, was acquired on December 1, 1987 at a cost of $3,226, for a total of $11,821. The trade-in would replace the inoperative equipment with comparable (new) equipment. The equipment went in for major repairs in July of 1997 and has failed again in August of 1997. Based on the trade-in value of $2,500, the $1,800 cost to repair the equipment is inappropriate.
