sponsorship of City events
Statement of Issue: City Council is asked to delegate authority to the City Administrator or
his/her designee to approve administrative items related to in -kind sponsorship of City
events.
Financial Impact: N/A
Recommended Action: Motion to:
Approve delegation of authority to the City Administrator or his/her designee to approve
administrative items related to in -kind sponsorship of City events. Administrative items will be
approved as to form by the City Attorney.
Alternative Action(s):
Do not approve delegation of authority to the City Administrator or his/her designee.

Analysis: In the course of soliciting sponsorships for city events, occasionally there are
companies who ask for a written agreement regarding their in -kind sponsorship of the event.
The companies are often providing promotion, entertainment or goods and services in
exchange for being listed as a sponsor and being recognized in the City's promotion of the
event.
Sometimes the companies provide written agreements outlining the requirements of the City
and the items they are providing. It is recommended that these agreements be signed by the
City Administrator or his/her designee. Examples of the types of agreements would include
the in -kind sponsorship agreements with KEarth and Radio Disney, for promoting the Fourth
of July events.
The Fourth of July Board of Directors frequently solicits sponsorships to help support the
event and promotion of the event. The Board develops the levels of sponsorship based on
the worth of what the sponsor can bring to assist the event. In exchange for benefits that
sponsors can provide, the board will provide such items as VIP parking and entrance into
Fourth of July events, merchandise, banner placement, logo placement in advertisments and
on the website, technical assistance to be able to broadcast or assist in their production and
printing of materials.
In the past, sponsors have been satisfied with a representative signing the agreement if there
is an agreement. In the case of Radio Disney, they have requested a city official sign the
agreement. The agreements are similar to the monetary sponsorship agreements for which
there is already a process outlined by the board.
